How to Build a WhatsApp Chatbot Without Writing Code
A practical walk-through of building a chatbot that answers questions, collects details and books appointments on WhatsApp, using a visual builder instead of code.

Most people picture a chatbot as something that needs a developer and a big budget. For the common jobs, answering the same questions, collecting a customer's details, booking a slot, it does not. Here is how it works with a visual builder.
Step 1: Pick one job
Do not try to build "a bot for everything". Choose the single most repeated conversation in your business. For a clinic it is "can I book an appointment?". For a store it is "where is my order?". For a coaching institute it is "what are the fees?".
One job, done well, is worth more than ten half-finished ones.
Step 2: Decide what starts it
A chatbot starts from a trigger:
- a keyword the customer types ("price", "book", "order")
- a new contact messaging you for the first time
- a tag you give a customer
- a button the customer taps in a message you sent
Step 3: Draw the conversation
In a visual builder you add steps in order:
- Send a message with the first reply.
- Ask a question and check the answer. A phone number should look like a phone number, a date like a date. If it does not, the bot asks again.
- Show buttons or a list so the customer taps instead of typing.
- Branch on what they chose, so a "pricing" customer sees a different path from a "support" customer.
- Tag the customer so you can follow up later, for example "Hot lead".
Step 4: Use live data
A bot becomes valuable when it answers from your data: the status of an order, the free slots in a calendar, a row in a sheet. In Engage you can connect apps like Google Sheets, Shopify and your CRM, or call your own API, and then use the result in the next message.
Step 5: Always include a person
Every chatbot needs a way out. Add a step that hands the chat to a teammate, with the conversation so far, when the customer asks for a human or the bot cannot help. This single step is what makes customers trust the bot.
Step 6: Test, then switch it on
Run it yourself as a customer. Try the wrong answers and the odd ones. Then switch it on and read the first few real conversations in the log, so you can see exactly where people get stuck and fix it.
Where to start
If you would rather not start from a blank canvas, look at our ready-made flows for common businesses: booking, order status, lead capture and more. Each one shows the conversation and the automation behind it.

Common questions
Do I need a developer to build a WhatsApp chatbot?
Not for most chatbots. A visual builder lets you add messages, questions, buttons and lists without code. You only need a developer if you want to connect a system that has no ready-made integration.
What if the chatbot cannot answer?
Design a hand-off. When the customer asks for a person, or the chatbot is unsure, the chat is assigned to your team with the conversation so far.
How long does it take?
A simple chatbot, such as an FAQ or a lead form, can be built in an afternoon. More involved flows, like booking with live availability, take longer because they connect to your own system.
