WhatsApp Business App vs WhatsApp Business API: Which One Do You Need?
The free Business app is fine until it is not. Here is how to tell when you have outgrown it and what the API adds for teams, automation and campaigns.

If you run a small business on WhatsApp, you probably started with the free WhatsApp Business app on a phone. It is a good start. The question is when it stops being enough.
What the Business app is for
The Business app is made for a single owner or a very small team replying from a phone. You get a business profile, labels, quick replies and a catalogue. It is simple, and for a shop with a few chats a day it may be all you need.
Where it starts to hurt
You will feel it when:
- More than one person needs to answer, and customers get two different replies, or none.
- You want to send an offer to many customers without copying and pasting.
- Customers write at night, and you want an instant answer.
- You want chats to connect to your tools: a sheet, a CRM, a payment link.
- You want to know how campaigns performed.
What the API adds
The WhatsApp Business API is the same WhatsApp, but built for businesses that need more than a phone. Through a platform such as Engage it gives you:
- a shared team inbox where every chat has an owner
- campaigns to opted-in customers using approved templates, with delivered, read and replied counts
- chatbots that answer, ask questions and book while your team sleeps
- integrations with your sheets, CRM, store and payment links
- an API and webhooks for your own software
A quick way to decide
Stay on the Business app if you are one or two people, reply to a handful of chats a day and do not run campaigns.
Move to the API if you have a team, send campaigns, want automation, or need your data in other tools.
The move is smaller than it sounds
Moving is mostly setup: connect your number, import your contacts, get your first messages approved and build one chatbot. If you do not have the time, our done-for-you service can do it with you.

Common questions
Can I keep my current number?
Often yes, but check how your provider moves a number that is already in the WhatsApp app, and plan the switch so your customers are not interrupted.
Is the API free?
WhatsApp charges per message by category, which you pay to Meta. The platform you use to reach the API has its own plan. On Engage, messages are never capped by us.
